We are pleased to inform you that the rooms in every 1978 international convention city can now take room requests. The Society sent out the updated Room Request forms for all the congregations in February to allow all those people who want to request rooms, regardless of whether they are motel, Hotel, or private, to begin to do so. Elders must throw out any Room Request forms from the previous year remaining in their congregations’ Kingdom Halls because the form is being updated. The new form will be utilized to determine the rooming assignment.
The forms will state on new forms that the secretary or pastor’s “Convention Coordinator” must review the completed form to ensure its accuracy, neatness, etc., and then confirm his approval before sending it to the Convention Rooming Department for the convention you requested. So, any person filling out a Room Request form should not forward it to the city where the convention is held. Instead, they should submit it to an elder designated in the congregation to verify the request is valid.
The elder will then have to submit it to the city of the convention together with any other Room Request forms he might have in the same town with the rooming address of the city, which is listed on the back of every Room Request form. The elders in each congregation must determine immediately if the secretary or “Convention Coordinator” is responsible for verifying room request forms and then communicate this information to the congregation.
